Job Description

We’re searching for a diligent real estate administrative assistant. You’ll be responsible for managing all paperwork in a timely manner, notifying clients of approaching deadlines, ensuring each deal goes through the proper legal channels, scheduling appointments and walkthroughs, and providing superb customer service. In addition, you’ll work with other staff members to market our brand and arrange company events in the community. Responsibilities: • Notify transaction participants when a deadline is approaching • Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met • Participate in training sessions to improve skills with administrative tasks in the real estate industry • Ensure each transaction complies with legalities and any tax withholdings are complete • Plan travel arrangements, open houses, final walkthroughs, and other necessary engagements • Oversee all aspects of real estate transactions from executed contract to closing • Review and manage contracts, disclosures, and all required documentation for accuracy and compliance • Track key deadlines and ensure timely completion of all transaction milestones • Maintain regular communication with clients, agents, lenders, escrow/title, and other parties involved in the transaction • Update transaction files, databases, and CRM systems to ensure accurate records • Provide administrative and operational support to our sales & management team • Provide top-notch support that helps clients feel cared for every step of the way • Assist in marketing duties, to include but not limited to, creating flyers, real estate ads, posting marketing on our company social media platforms & websites • Assist in planning company events Qualifications: • Candidates are required to have a high school diploma or GED • Understands how to utilize a database for processing client information and how to use Microsoft Office to create necessary documents • Previous experience in the real estate industry • Weekend and evening availability • Real estate license preferred • Previous real estate transaction coordination or administrative/management experience. (preferred but not required if you’re a fast learner!) • Must have a valid Alaska Real Estate License or willingness to obtain one. • Knowledge of real estate processes, contracts, and compliance requirements • Excellent organizational and time-management skills with the ability to prioritize multiple deadlines • Strong communication skills—professional, friendly, and proactive • High attention to detail, accuracy, and problem-solving abilities • Ability to juggle multiple tasks and stay calm under pressure • Tech-savvy (familiarity with CRM systems, e-sign platforms, Adobe suite, Canva, MLS, etc.) **** Compensation: $46,500-Competitive compensation based on experience level

$46,500 per year
