Overview

Job Overview: The General Manager High Rise ensures Association business is executed in a timely and accurate manner, in accordance with Association governing documents, Board policies, FirstService policies and procedures, California civil code, and other applicable regulations. The General Manager will adhere to the mission and vision of the Board of Directors and membership, and oversees all aspects of the buildings operations, including relationships with the board, committees, residents, staff, vendors, and external entities as necessary.

Compensation: $105-120k. FirstService Residential will compensate the successful candidate in accordance with the posted range. The base pay range is subject to change and may be modified in the future.

Responsibilities

  • Acquire an understanding of all Community governing documents (CCRs, By-Laws and published rules) and ensure all requirements are followed.
  • Gain working knowledge of FirstService systems and assimilate standard operating policies and procedures.
  • Recruit, hire, train and supervise all building staff. Create staffing plans and budgets for Board approval. Use FSR associates when possible and determine when to outsource.
  • Promote FSR\'s Global Service Standards amongst associates and vendors and include these standards in coaching and performance management.
  • Proactively inspect building and exterior areas, building systems, landscape and other amenities; ensure repairs and maintenance are conducted timely.
  • Ensure fire, life and safety systems are operable and that evacuation plans and emergency procedures are documented and understood by staff and residents.
  • Maintain operating procedures and preventative maintenance plans for key systems (Elevators, HVAC, Pumps, Boilers, Security, etc.).
  • Respond to homeowner/resident requests for maintenance or compliance issues, or architectural change approvals.
  • Create an annual calendar of key client meetings and events and integrate into FSR Connect and personal calendar.
  • Work with Association legal counsel on pending or existing litigation and provide periodic updates to the Board.
  • Prepare and post board meeting agendas and concise, detailed board meeting packets; attend and participate in Board and committee meetings and prepare minutes.
  • Approve and code vendor invoices and ensure vendors comply with contract terms.
  • Gather detailed bids for major non-recurring projects or changes in vendor contracts.
  • Monitor the financial position of the Association and present monthly financial reports and any documents requiring Board signatures.
  • Lead Boards toward short-term and long-range plans; develop action plans to achieve objectives.
  • Prepare annual budget drafts with updated reserve disclosures and ensure timely distribution of the budget.
  • Support Board sub-committees and connect the Board and committees seamlessly.
  • Administer the Annual Election and meetings; ensure annual CPA audit/review is completed and distributed within 120 days of year end; ensure tax returns are completed and filed by CPA.
  • Assess and monitor community needs; identify opportunities for improved communication or service delivery; implement programs or improvements.
  • Other duties as assigned.

Skills & Qualifications

  • Excellent general math skills; strong Microsoft Office skills.
  • Strong written and verbal communication; active listening; ability to drive for mutually satisfactory resolutions.
  • Understand HOA rules, facility maintenance, governing documents, and financial statements and budgets.
  • Service-oriented mindset with multi-tasking abilities and a flexible, resilient attitude; able to work with volunteer board members in a servant-leader role.
  • Ability to handle conflict and work under pressure; able to instill confidence in staff, boards and residents.

Education & Experience

  • Bachelor's Degree in Public Administration, Business Administration or related field preferred, but not required.
  • CCAM, CMCA or PCAM designation preferred, but not required.
  • Minimum of five years of successful high-profile community management experience or equivalent in related fields.

Supervisory Responsibility

  • Manage activities of on-site personnel; develop staffing plans; ensure policy adherence and service standards by FSR and vendor staff.

Travel

  • Must have reliable transportation and be able to drive to other work locations; most Board meetings occur in the evening.
  • Valid Driver\'s License and state-mandated vehicle insurance required.

Physical Requirements & Working Environment

  • Must be able to lift 25 lbs; sit or stand for extended periods; communicate with clients by phone and in person; finger dexterity for typing; mobility to move around the office and property; ability to walk on uneven surfaces.
